You may be an experienced PA, or you may be looking for your first job. Choosing your career can be difficult. This will depend on your experience, qualifications and career goals.

PAs provide administrative support to senior personnel in an organisation. Their duties and responsibilities could vary greatly according to the employer, but may include:

• Being computer literate with a good knowledge of word processing, spreadsheets and databases.
• Word processing or typing documents, This could involve audio transcription.
• Answering the telephone and dealing with any enquiries.
• Maintaining a filing system.
• Dealing with incoming and outgoing mail.
• Making appointments and keeping the diary up to date.
• Distributing documents for meetings and taking minutes.

There are no minimum entry requirements, but most employers and colleges look for GCSEs (A-C)/S grades (1-3), particularly in English and Maths. An alternative is to enter after a relevant college qualification. Foundation, Intermediate GNVQs or vocational A levels/GSVQs Levels I, II or III in Business Administration. NVQs/SVQs levels 1 to 3 Pitman, OCR (RSA) Examinations Board or London Chamber of Commerce and Industry

Examinations Board (LCCIEB) qualifications. Most colleges of further education offer a range of secretarial courses, both full-time and part-time. Some private colleges offer shorter and more intensive courses.

If you continue your education after GCSE/S level and gain more qualifications, you stand a better chance of a more interesting secretarial job, more responsibility and promotion. You could find knowledge of a foreign language useful. Some entrants are graduates.

There is no upper age limit for entry. Maturity is an important quality in a PA so older candidates are often welcomed. Many colleges relax their entry requirements for mature students.

Job Hunting

Job hunting in today’s marketplace can be a complicated task. Current economic conditions dictate that the recruitment market is very much an employers’ market. There is an abundance of candidates fighting for fewer jobs.

If you are searching for a job today specifically, there are the traditional methods of job searching, which includes responding to newspaper ads, applying directly to employers, and signing on with a recruitment agency. With the advent of the internet, there now exists another, more powerful, medium with which to search for jobs.

The internet is fast becoming a dominant force in bringing candidates and employers together in an effective way. There are now numerous "Job Boards" on the internet that advertise vacancies from all over the UK.

These Job Boards on the internet are a very effective resource for candidates, recruitment agencies and employers. As a candidate searching for a job on the internet, you can do so from your home, as long as you have a PC and an internet connection.

Additionally, you can register on these Job Boards for vacancy alerts sent to you via email. You simply specify your requirements for the type of job, and you are then alerted immediately a vacancy that may be of interest is lodged on the Job Board.

A recent trend in internet recruitment is that employers and candidates are becoming very specific in their requirements, with a strong emphasis now on industry specific job boards. For example, there are Job Boards like JustEngineers focused solely on engineering vacancies and CWJobs focused on IT jobs. There has been an explosion of Job Boards into the industry specific segment and this will certainly continue to be the trend. The reasons for this are that employers know that they have a very targeted audience for the vacancies they are advertising. With the general Job Boards, employers tend to receive a vast number of applications from candidates who really are not suited to the job; industry-specific Job Boards lessen these unwanted CVs greatly.

Given that employers essentially are looking for candidates with specific industry experience, then the industry-specific Job Boards are an excellent medium for employers and recruiters to advertise. Recruitment agencies also are tending to specialise in certain industry sectors. If they are to invest in advertising on job boards, then they will be very interested in Boards that focus on their same industry sector. Some of these types of Boards provide a great source of additional information and job news, specific to that industry sector. This includes new product and service innovations in that industry, company/employer news, and other general information specific to that industry. Most employers are looking for skills that closely match the requirements of the job. This saves them additional training costs. Given this, it is important to emphasize your experience on the CV. Also bear in mind that recruitment agents will really only be interested in promoting you if they have a specific vacancy that they believe you are a good match for. If you do not have the skills, experience or education required for the current vacancies, then your CV will most likely not be considered. This does make things difficult if you are trying to change industry sectors. Experience is generally the key! So look for vacancies that you can match with your skills and experience.

If you obtain vacancies that match more closely your skills, then you can be more confident in getting the job. This will come across in the interview and will hopefully be a major influence in you securing a job.
